A Management System for Auto Detailing and Repair Shops

This is a management system built specifically for the auto detailing and auto repair trades, organised into seven modules: base information, inventory and purchasing, membership, annual inspection and insurance, finance, information queries, and period statistics.

1. Base information

Customer and vehicle records, service items, department set-up, membership card tiers, supplier records, parts data and staff records. Everything else in the system refers back to these, which is why this module gets built first and maintained continuously.

2. Inventory and purchasing

Job settlement, product intake, parts sales and stock levels. The point of the module is that a part is tracked from arrival to installation, so the stock figure is a fact rather than an estimate.

3. Membership

Card top-up, member records, and a flag for any card whose balance has fallen below 100 — the last of those is what turns dormant customers into a call list.

4. Annual inspection and insurance

Vehicle insurance policies and annual inspection dates. Both are date-driven, and both are the kind of thing a shop forgets until the customer asks.

5. Finance

Expense and income records, cash movements, and purchase payments. The cash side of the operation, kept in the same system as the jobs that generated it.

6. Information queries

This is where the system earns its keep. Search by membership card number or name; check a balance by card number; find an intake record by order number; look up stock by part number; pull a job by its number; check the receivables on a job; review parts sales by sales order; query insurance and inspection records. Each of those replaces a phone call or a notebook.

7. Period statistics

The reporting layer: purchases by supplier, purchases by handler, materials used per job, jobs by type, materials cost and margin per job, parts sales margin, member card spending, member card top-ups, and total profit across a period. A shop that never runs these numbers is operating on impression; a shop that runs them monthly can see which service line is actually profitable.

What makes it more than a database

The system was designed around how these businesses actually operate rather than around what a generic package can do. It supports barcode scanning, and it joins card swiping, card top-up and job settlement into one continuous process rather than three separate ones.

Data entry is automated where it can be, which is what raises throughput in practice: quicker to record, easier to learn, and fast enough that staff use it rather than work around it. The system also supports secondary development, so it can be extended as the business changes.
