A CRM helps a business manage customers properly: collecting, organising and maintaining everything known about them, following each one through the whole process, delivering service at a decent standard, and using the resulting data to give salespeople and sales managers something to decide with. The system is organised around the customer, and it covers every dimension of the relationship.
So what are the functions that do that work?
1. Customer records
This is the core. A record is not a name, a phone number and an address. The value is in what sits around them: the customer’s potential, what they care about, how they arrived, the analysis, the current situation, the worth of the account, the structure of their organisation. Those are what make the next conversation possible, and they are what a spreadsheet cannot hold.
2. Marketing management
The whole path from a cold lead to a signed customer, with the system recording contact frequency, number of contacts and the follow-up history at each stage.
Two things follow. Salespeople can see what worked and repeat it, and problems get corrected rather than repeated. And because the system tracks the most recent contact and surfaces it, nothing gets dropped in a busy week.
3. Customer service
Good after-sales work is how a brand image is built and how a customer is kept. The system files feedback against the purchase history and passes it to the service team, who then ask the customer to rate the interaction.
Tying that rating to the team’s performance review is what gives it teeth. It produces a record of how the company actually treats people, which is more useful than a satisfaction survey.
4. Campaign planning
A marketing plan should start from the market and from where existing customers currently are, not from a creative idea. The system produces the analysis of the customer base; combined with market research, that is what a campaign gets built on.
5. Forecast and analysis
Intent changes over time, and the system should be tracking it. Continuous maintenance and upgrading of the customer, value analysis, an estimate of what proportion will close, the buying motive, who the decision-maker is, what the competitor’s advantage is.
All of it feeds one question: where is our advantage, and what is our weakness. That is what raises conversion, and it is answerable only with records.
6. The sales funnel
Which stage is leaking? Lead handover, first visit, initial proposal, quotation, negotiation, close. A funnel makes the leak visible at the stage where it happens, which is the only point at which it can be fixed.
A sales team that reviews its funnel stops arguing about effort and starts looking at where deals are dying. That is the function of the whole system, and it is why the records have to be complete rather than approximate.
